Effective Time Management


Time is a precious resource. We cannot buy extra time. Effective time management helps us get more things done in a shorter period. Below are some points that can cause delay in accomplishing our tasks and how we can maximize the use of our time. Time management is a critical skill to exercise.


Time killers

  • Procrastination. Sometimes we may wait until we feel ready before doing a task. But some work only require a short time to complete. Discipline is required to focus on getting work done.


  • Distractions. The environment that we are in can affect our productivity e.g. a dim room can make us feel sleepy. A noisy room can prevent us from focusing on our work. Therefore it is important to work in a conducive environment e.g. well litted and quiet.


  • Disorganized. When we pile our stuff in a disorderly manner, it will take us more time to search for an item. Organizing our things in allocated areas helps save time.


  • Ineffective communication. We need to be very clear when giving instructions so that everyone involved know exactly what to do. Otherwise we may not get the desired outcomes. We waste time correcting mistakes.


  • Perfectionism When I was young, I would brush coats of water colour paint over the paper to get the desired look until I create holes in my paintings. Then I will paint again. It’s time consuming. My friend pointed out to me, “Why don’t you focus on giving your best at the first try and let it be?” I realized that I am wasting time by repeating my work. So I learn to focus my energy at the first time and be contented with it. We cannot be idealistic.

    Sometimes we may want to do things personally to ensure that all things run smoothly. This can lead to burnout. Delegate work to other team members to free yourself to do what only you can do.

Time Savers

  • Plan your time well. Schedule tasks and prioritize them. As we keep in mind the tasks to be completed, it can motivate us to get them done.


  • Multi-task. We can group the work to be done e.g. I iron while watching television. It saves time to do different things that require different forms of concentration at one go.
